Reporting to the Director of Business Relations, the Administrative Assistant will provide reception and administrative activities to the Bob Rumball Canadian Centre of Excellence for the Deaf and effectively develop strategies to deal with an array of projects and assignments while consistently maintaining the highest level of confidentiality and professionalism. This position is a temporary role, with the possibility of extension. PRIMARY DUTIES • Reception duties which includes greeting visitors and answering all telephone lines; including TTY lines • Manages and tracks daily interpreter bookings; including processing invoices for payment • Responds to facility rental requests and completes room bookings which includes making necessary arrangements (i.e. set up of room and refreshments) • Conducts administrative projects for various departments that include data entry work, committee participation, creation and maintenance of Word, Excel and PowerPoint documents and conducting online research • Coordinating schedules for ASL/English Interpreter team • Supporting daily administrative needs of staff teams, managers and residents • Supporting Executive Assistants as required and other duties as assigned by Director of Business Relations • Monitors, orders and maintains supplies • Picks-up and distributes mail; and arranges courier delivery • Establishes, maintains and updates appropriate and confidential filing systems • Photocopies and prints material as required Requirements: QUALIFICATIONS • Business Administration diploma • Minimum of 2 years’ relevant administrative experience • Fluent in American Sign Language and experience with Deaf culture • Strong organizational skills, attention to detail and self-motivated • Demonstrates collaboration, reliability, and flexibility • Committed to continuing education • Excellent knowledge of all Microsoft Office Software including Word, Excel, Publisher, Power Point and Outlook • Ability to navigate the internet and work with web-based forms and platforms • Able to manage competing priorities in a fast-paced environment • Works effectively as part of a team • Excellent interpersonal skills and professional manner • French language and LSQ an asset Resume Information ------------------ Applicants should submit the following:: Resume, Cover Letter Majors Desired:: Business Degree levels accepted:: Associate, Bachelor, Graduate Application Information ----------------------- Apply online at:: https://www2.bobrumball.org/careers/ Email application materials to:: careers@bobrumball.org Additional Instructions: Interested candidates please email resume to: Human Resources at careers@bobrumball.org or fax to 855.492.1612 Please contact the above if you need accommodation at any stage of the application process.
