About Deaf Services of Palo Alto Deaf Services of Palo Alto, Inc (DSPA) is an agency that provides sign language interpreters for technical companies in the San Francisco Bay Area and other markets across the US and Internationally. DSPA also has a robust Sign Language program that offers on site or remote Sign Language classes in over 17 countries. Position Summary: The Sign Language Administrative Assistant at Deaf Services of Palo Alto (DSPA) is pivotal in supporting the Sign Language Program Division. This role demands a candidate skilled in multitasking and organization, with a natural empathy that underpins effective internal and external communication and collaboration. The assistant will manage and prioritize various tasks across the division, ensuring a high degree of organization and responsiveness. Essential Duties and Responsibilities: Calendar and Scheduling: Manage and oversee key dates for registration and class schedules. Develop and analyze student interest surveys to determine scheduling and class preferences for upcoming semesters. Coordinate instructor availability through comprehensive surveys, including translating for international instructors. Technical and Logistical Support: Facilitate test video conferencing and support Virtual Remote Interpreting (VRI) checks with program interpreters. Monitor upcoming interpreting assignments and assist with technical troubleshooting across various platforms. Documentation and Onboarding: Program Organization: Maintain and update independent contractor files, handle teacher contracts, and process onboarding paperwork. Ensure document accessibility through translation and organization, adhering to established program procedures. Communication and Reminders: Send out routine login information and invoice reminders to instructors. Create and distribute accessible ASL videos for key communications. Feedback and Program Development: Manage and interpret feedback for program enhancement, conducting research to support marketing and operational strategies. Engage in cultural inclusivity initiatives to standardize and enrich the program experience. Coordinate interpreters for all activities related to DSPA staff. Miscellaneous Tasks: Employ project management tools such as Asana to track task progress. Contribute to various projects, ranging from program development to operational adjustments as required. Conduct independent research and create documents as required by other departments. Requirements: Minimum Qualifications (Skills, Knowledge, Abilities): Fluency in American Sign Language (ASL) with adaptable communication skills. Minimum of 2 years of relevant experience. Proficiency in written communication and strong interpersonal skills. Competency in cultural and linguistic variations within the Deaf, Deaf-Blind, and Hard of Hearing communities. Demonstrated problem-solving abilities with a detail-oriented mindset. Commitment to confidentiality, client relationships, and professional judgment. Preferred Qualifications: Experience with Google Workspace and online meeting technologies. Knowledge or willingness to learn software such as Zoom, Asana, GoToMeeting, and others. Strongly Preferred Additional Skills: Exceptional time management. Openness to learning and integrating new technologies. Proficiency in providing and receiving feedback. Capable of generating reports to track KPI. Time Commitment: 20 hours per week, Monday - Friday. Flexible shifts of four or five consecutive hours are available between 6:00 am - 4:00 pm PT. (Initial training schedule will require four hour shifts between 9:00 am - 4:00 pm PT for the first two weeks in this role) Physical Demands and Work Environment This job operates in a professional environment.
