Frequently Asked Questions
With our full-service catering, we handle the entire set up and tear down. This includes, but not limited to, the set up buffet services, serve plated meals, an array of bar & beverage services, and provide staff to clean up throughout the event. We offer upgrade packages such as fineline plateware & cutlery, china service, as well as table linens & flower arrangements. With full-service catering, there is also a much wider range of menu options available. Depending on the event size, our staff will need to access the space as early as 4 hours prior to the event. We ask that all tables are set-up at least 2 hours prior to the event start time. We do require a 25 person minimum for all full-service events. This service is accompanied with a 20% Service Charge.
Our drop-off service has more limited menu options. Our staff will deliver & set-up the food order, equipped with disposable plateware, cutlery, utensils, cups, and napkins. The group will be responsible for all clean-up after the event. Drop-off time will be a pre-determined 30-minute drop-off window. We ask that our staff has access to the location during this 30-minute window, as well as a representative to accept the food order. A $50.00 minimum order is required for drop offs Monday thru Friday, 8 am to 5 pm. $100.00 minimum order for deliveries outside those hours. This service is accompanied with a 10% service charge.
Equipment rental service is not available through RIT Catering. The University partners closely with a rental company, who can provide an array of catering needs. For more information, reach out to partners with Facilities Management Service and request service.
RIT’s policies states that a NYS Liquor License is required all cash & open bars that serve 50 guests or more. This is a one-time $60.00 fee that will be added to the final invoice. RIT Catering requests that all requirements are submitted to us 30 days prior to the event date. This includes a confirmed menu & location, as well as a formal room diagram, exhibiting the layout of all service tables.
Our chefs are happy to work with you to develop the perfect menu for your occasion. We will need to know the basic preliminary information such as the event date, time, how many anticipated guests and the desired level of service. There will be a one-time only $50.00 custom menu fee.
RIT Catering does not have the ability to bill multiple departments for catering orders. When more than one department is wanting to pay for a service we recommend generating an internal journal entry between the departments.
For institute-level events, all final details (guarantee of attendance, details of any special dietary requirements, event timing, etc.) are due two weeks prior to the event date. For all other events, final details are due one week before your event. The guarantee of attendance is not subject to reduction. Increases to your guarantee are subject to approval and may be assessed additional charges.
For the most direct answer, please reach out to our catering sales office at catering@rit.edu. Please include the event date, location, number of anticipated guests, and desired level of service. Otherwise, you may add catering services to an existing room reservation in the RIT Events Management System. We will contact you to either confirm or deny availability.
Our Government & Community Relations event planners are looking forward to making your event a memorable and successful one for you and your attendees. All external visitors who wish to utilize RIT facilities are required to contact the Office of Special Events and Conferences. This office can provide budget development, facility reservations, coordination of logistics and services and on-site event management. Please reach out to Government and Community Relations.
